Ebook Cataloging at Fogler Library

Purpose: Cataloging workflows for purchased ebooks vary from one collection to another depending on the availability, quality, and quantity of the MARC records provided by the vendors. Batch processing (indicated with *below) is used to catalog hundreds or thousands of records at a time by taking advantage of the economy and speed of vendor-supplied records. The individual cataloging approach is performed by adding vendor-supplied links to the records found on OCLC WorldCat one by one. The records thus handled are usually of better quality in addition to having the advantage of showing holding information in WorldCat.

*ACLS (American Council of Learned Societies) Humanities Ebook

  1. Notice received from Sharon
  2. MARC records freely available for download at ACLS website
  3. Check updates every two months
  4. Records cataloged by University of Michigan, generally of high quality
  5. Use MarcEdit doing the following customization editing:
    • Replace "=090 //" with "=050 04"
    • Add EzProxy prefix http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url= to URLs in 856 fields
    • Add "$z UM Orono Access" display notes
    • Add command line "=949 33$a*recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  6. Export records from MarcEdit to Millennium

AIP (American Institute of Physics) Conference Proceedings

  1. Monitor via subscription to email alerts at AIP website
  2. Catalog individually from email alerts. Usually there will be available records in 2 weeks
  3. Titles published after 2006 have been individually cataloged. Tina has turned off titles published after 2006 in Serials Solutions so there are no duplicates coming from its monthly updates
  4. Search in OCLC Connexion using ISBN
    • Add "eb" to call number
    • Add EzProxy prefix http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url= to URL in 856 field
    • Add "$z UM Orono Access" display note
    • Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-p/sta-k"

*APA (American Psychological Association)

  1. Notice received from Deb or Sharon
  2. MARC records freely available for download at APA website. Ask Deb for login information.
  3. Use MarcEdit doing the following customization editing:
    • Add "eb" to call number
    • Delete 263 field
    • Replace "$3Table of contents" with  EzProxy prefix http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url=
    • Add "$z UM Orono Access" display notes
    • Add command line "=949 33$a*recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  4. Export records from MarcEdit to Millennium

*ASCE (American Society of Civil Engineers) Conference Proceedings [1 time process]

  1. MARC records set obtained from Serials Solutions for a Massachusetts library
  2. Skeletal records of low quality, but better than none
  3. Approved to use by Cataloging Standards Committee
  4. Use MarcEdit doing the following customization editing:
    • Add "730 0\$aASCE conference proceedings"
    • Add "$z UM Orono Access" display note
    • Add command line "949 33$a*recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  5. Export records from MarcEdit to Millennium

*CQ [old procedure]

  1. Receive notification email from Sharon
  2. Follow the instruction on notification email to download records
    • Go to OCLC Product Services
    • Click Download Records and Reports
    • Click OCLC WorldCat Collection Sets
    • Enter your OCLC authorization and password
    • Click OK
    • Select the desired file to download
    • Perform a Save As, as per your browser's Help instructions
  3. Open the file in MarcEdit
  4. Use MarcEdit doing the following customization editing:
    • Change "090 \\" to "050 \4"
    • Append "eb" to the end of call numbers
    • Filter on multiple 856 fields
    • Replace "An electronic book accessible through the World Wide Web; click for information" with  "UM Orono Access".
    • Add command line "=949 33$a*recs-b;ov-.o;b1-4;b2-o;b3-u;bn-cyber;i-/ty-97/loc-cyber/i2-r/sta-k"
  5. Export records from MarcEdit to Millennium

CQ Press [procedure updated 06/2012]

  1. Order placed by Deb and/or Hansie
  2. Tina notified to activate on SerSol in the selected titles only collection(s)
  3. Tina adds note to order record (attached to bib order rec) to indicate activation completed
  4. Tina sets up tickler and monitors for availability of a MARC record thru 360 MARC
  5. If 6 weeks pass and still no plans for a 360Marc generate record, pass on to Kjerste or Barb for cataloging

ebrary

  1. Acquisition staff send notification of available titles to Barbara via email
  2. Open attached spreadsheet
  3. Copy and paste title into Connexion field search box, select title from the dropdown list
  4. Select “Computer files” from the dropdown list under “Format”
  5. Check “Retain Search” box
  6. Select Provider-Neutral ebook record to use as much as possible
  7. Add gift notes if needed
  8. Add EzProxy prefix " http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url= " to the URL copied from the spreadsheet in 856 field
  9. Add "$z UM Orono Access" display note
  10. Add "710 2 ebrary, Inc." per Deb's request
  11. Add EzProxy prefix to the URL supplied by ebrary
  12. Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"

Gale

  1. Notice from Hansie in Acquisitions
  2. MARC records and links available from Gale website. For more information see Processing Gale eBooks
  3. Two cataloging options:
    • Use OCLC records + links supplied by Gale (more efficient for single records and small groups)
    • Use Gale supplied records (more efficient for larger batches)
  4. Edit in Connexion or MarcEdit:
    • Add EzProxy prefix to the URL supplied by Gale
    • Add "$z UM Orono Access" display note
    • Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"

NetLibrary/EBSCO Ebooks

  1. Sharon and Deb send notification emails to cataloger
  2. Follow the instruction in the email to download the records
  3. Use MarcEdit to open the file
  4. Copy the OCLC number in the record
  5. Search in Connexion
  6. Edit the record
    • Add EzProxy prefix http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url= to URL in 856
    • Add "$z UM Orono Access" display note
    • Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  7. If no order record found to overlay, the EBSCO e-book(s) were purchased on approval and the item record's ICODE2 field should be "p".
  8. Send list URSUS record links to Hansie so she can add order records for approval e-books when invoice is received.

SAGE

  1. Hansie sends notification email to cataloger
  2. Open spreadsheet attachment, which includes titles and OCLC numbers
  3. Search in Connexion using OCLC number
  4. Edit in Connexion
    • Append "eb" to the end of call number
    • Add EzProxy prefix to URL in 856 field
    • Add "$z UM Orono Access" display note
    • Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  5. Click link to see if the title is published. If not, suppress the record in Millennium and notify Hansie
  6. Hansie notifies cataloger to unsuppress the record when the title is available

*Springer

  1. Monitor site for updates as no alerts service in place
  2. Check online procedure Batch Processing Springer Ebook Records to see how to batch load records in Connexion
  3. Export records to a file on your computer
  4. Open file in MarcEdit
  5. Use MarcEdit doing the following customization editing:
    • Append "eb" to the end of call number
    • Filter out unwanted 856 fields
      • Change all 856 fields to 999 fields, replace" =856" with "=999"
      • Change all 999 fields with the specific URL back to 856 fields, replace "=999 40$3SpringerLink" with $uhttp://dx.doi.org/10.1007/ "with "=856 40$uhttp://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url=http://dx.doi.org/10.1007/"
    • Add "$z UM Orono Access" display notes
  6. Keep the prefix "ocm" in 001 fields
  7. Load records to Millennium through Data Exchange using Load I

*Synthesis Digital Library Collections [old procedure; records loaded through SerSol as of 01/2012]

  1. Monitor quarterly [As of 9/13/11 an update should be imminent]
  2. MARC records freely available for download at Morgan & Claypool Publishers MARC Records' page
  3. Check updates every month
  4. Use MarcEdit doing the following customization editing:
    • Append "eb" to the end of call numbers
    • Add EzProxy prefix http://www.library.umaine.edu/auth/EZProxy/test/authej.asp?url= to URLs in 856 fields
    • Add "$z UM Orono Access" display notes
    • Add command line "=949 33$a*recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
  5. Export records from MarcEdit to Millennium

Wiley

  1. Acquisition staff send yellow slips to Barbara
  2. Go to Wiley Web site through Fogler's Indexes & Databases
  3. Search by publication titles
  4. Copy online ISBN
  5. Check “Retain Search” box
  6. Search in OCLC using online ISBN
  7. Select Provider-Neutral ebook record to use as much as possible
  8. Add 856 field, two options:
  9. Add "$z UM Orono Access" display note
  10. Add command line "949 33 *recs-b;ov-.o;b1-4;b2-o;b3-z;bn-oweb;i-/ty-97/loc-oweb/i2-r/sta-k"
