3-2 Preparing Electronic Books for Cataloging

Purpose:
To forward notice of access emails to Cataloging with all necessary information.

1. Preparing Electronic Books from Gobi

a.  When Gobi emails a NOA (Notice of Access) for ebook(s), forward it to Cataloging. Add “Ebook firm orderand order record # to the body.

          SUBJECT LINE: Fwd: YBP NOA: EBL, 571820, UNIV OF MAINE/ORONOEBL

b. If ebook needs special handling (i.e. notify a patron, gift plate additions), make the following modifications in the subject line and body of the email:

    • In the subject line: (((Notify)))) Fwd: Gobi NOA: Wiley, 571820, UNIV OF MAINE/ORONO)
    • In the body of the email,  if there is a notify, reserve, or digital giftplate required, add notes (see below).
    • Be sure to organize each link, isbn, and titles provided by Gobi with their corresponding order record before sent to Cataloging.

2. Preparing Individual eBooks from other sources

Individual e-books may be purchased for remote access on a publisher’s site, or for download and use via one of the library’s servers.

NOTE: Online access on a publisher’s site that “comes with” a print book purchase, but only is good for a year or two, will NOT be added as a link to the bib record.

  • Remote access:  Acq forwards the original email notice, with order record number(s) added, because it may contain helpful info. Make sure the following info is included:
    • Order record number
    • Title
    • URL and/or DOI of the title
    • Special handling instructions (notify/patron name, reserve/class info, giftplate name)
  • Local access

Files in PDF or other formats are sometimes purchased or donated, and the files should be downloaded to our digital2catalog directory.

Send the following information to Cataloging:

    • Order record number
    • Title
    • Name of the file(s) in digital2catalog folder associated with the title
    • Access restrictions (the default is “must be restricted to UMaine patrons only” unless the publisher has given permission to make the document accessible to anyone)
  • Cataloging’s instructions for e-book processing (may be of use):
