Faculty/Staff Profile Database - Changes Fall 2017 - FY 2018

This document outlines the more significant changes that have been made to the Faculty-Staff Profile Database (FSP) in Fall 2017 for FY 2018.

Publications
Publication data entry has changed significantly. Major changes are outlined below. For more detail see Publication Changes.
Tags
Virtually any data-entry element can be "tagged" as being relevant to one or more Emerging Areas or Signature Areas. Formerly this was handled for one emerging area only (Sustainability) by adding checkboxes to a number of data entry screens. Tagging generalizes this concept and extends it to all data entry elements. Items designated as Sustainability-related in past years now have tags attached.

Click the Tags button to add tags to an item. See "Attachments and Tags Display" for deleting tags.
 
Attachments
Attachments and Tags Display
For tabular items (e.g., Courses, Grad Students, Presentations) attachments and tags are shown in a table a the bottom of the screen rather than in the table itself.
For narrative items, attachments and tag are shown beside or below the narrative data entry field. Below is an example of such a table in a tabular screen. Appearance is similar in narrative screens. In the Attachments table you can delete attachments, or replace the attached file; in the Tags table, you can delete tags.

Because the display can become rather cluttered, all pages have a "Hide Attachments and Tags" button. Attachments and Tags are shown by default in tabular data entry pages and in narrative pages that have only one or narrative entries. They are hidden by default in narrative pages with many data entry elements (Teaching, Expertise, Research and Service).
In tabular screens, an orange outline on the button is used to indicate the presence of attachments or tags; in addition, the tooltip text associated with the button indicates that attachments or tags are present. Attachements and Tags in data grid
Mentoring
Mentoring data entry has changed significantly for Faculty and Professional Staff. The University would like to gather information about mentoring relationships from both the mentor and the mentee. In these screens auto-complete lists that match as you type are used for selecting both UMaine faculty and professonial staff as well as departments or non-departmental units.

In all screens a narrative data entry field has been added to supplement the former "Research Area" field, which has been relabeled in as "Research Area or Creative Activity Type/Title." For other mentoring relationships, the Soft Money, Work Study and Work Merits fields have been removed.

Output and Reports

All reports can be downloaded as single-file HTML documents or Excel (.xls) documents. Single-File HTML documents can be opened in any word processor and then saved in the word processor's native document format. See Download Reports for more information. In addition Publication, Grants and Presentations have Export buttons on the data entry screens. These will be added to other screens as the academic year progresses.

Please note however that reports do not yet incorporate this year's changes. The target date to complete this functionality is 31 Jan 2018.
